Administrative Assistant to Training Department The Hague
Main Responsibilities:
Provide administrative support to the training and career development activities of the HR unit
Organize and register post holders to training activities
Organizing internal and external training activities (following the budget and procurement rules)
Liaise with training providers
Updating existing databases and monitoring training implementation
Draft and maintain training maps and training passports for post holders
Liaise with various post-holders in identifying their training needs.
Update and maintain training records (including financial records)
Act as a focal point for all post holders with regards to training related matters
Update career development records of post holders
Assist in the development of Job descriptions for post-holders
Prepare and provide statistics to the training and career development sector
Set up and maintain filing systems and archives
Processing letters, notes, minutes and other texts
Maintaining contact databases using office software packages
Filing documents and mail, sorting post, registering incoming/outgoing mail
Perform any other task requested in the interest of the Unit.
Qualifications:
Excellent organizational and communication skills
Good reporting skills
Good knowledge of Microsoft Office package
Ability to be multi-task even under time pressure
Ability to build effective relationships with co-workers, supervisors and staff
Ability to work independently as well as within a team
Ability to be tactful and diplomatic and with a service minded attitude
