Experienced Office Manager for an international company Rotterdam
The overall specification of a secretarial / assistant job would be:1. Complete word processing, graphical, spreadsheet and database assignments as requested. 2. Screen mail, e-mail and phone calls.3. Manage (multiple) calendars.4. Coordinate internal and external meetings and conferences, including travel, hotel, catering.5. Prepare reports and presentations.6. Coordinate travel plans as requested.7. Process and track vendor payments and expense reports.8. Organize & maintain file systems & work instructions.9. Track project management benchmarks & update project plans.10. Oversee contractor assignments. 11. Acts as SAP delegated requisitioner.12. Is responsible for correct and up-to-date registration of vacations days.13. Maintains the archive and executes the Record Retention process.14. Draft correspondence. 15. Additional assignments may include monitoring budgets, data gathering and basic statistical evaluations.16. Maintain confidential data related to transactional activities, dialog forms and development plans.17. arranging contracts or the company and tax legal matters.
The jobholder should have the following education, experience, skills and competencies:• Proficient in personal computer skills, including SAP, Microsoft Word, Excel, Powerpoint, and other word processing, graphs, spreadsheets, database and Outlook software;.• Needs to be precise and have eye for detail• Fluent in English both written as oral,and preferably one other European language• Excellent interpersonal skills; able to communicate and coordinate workflow assertively and diplomatically at all levels of the organization, especially at the senior manager and executive level.• Able to work independently and to initiate administrative improvements; needs limited guidance from supervisor.• Well-honed organizational skills—manages workflow & projects effectively and timely.• Able to manage & prioritize multiple projects.
