Acting as Assistant to VP MEAR SalesManage VPs Agenda/CalendarSet up internal/external conference calls, participate and support in actions plan.Organize and book his trips using the dedicated tools and following the company processes (arrange Visa when necessary)Filling Expense Reports (through PS Financials) and liaise with Accounting Handling of incoming and outgoing posts/couriersHandling internal and external enquires (including emails, telephone calls) and follow them up, especially during periods when VP is away from officeHelp to introduce and implement new reporting processes.Be the point of contact for all types of questions coming either from the Team or other related parts and either provide answers/solutions or direct them to the responsible deptNew Team members: Arrange email address, order sf.com license, schedule necessary trainings, update OrgChart, Distribution ListsPrepare Weekly Reports after receiving team’s feedbackMaintain HCAs List and provide necessary update in the dedicated EU Shared FolderMaintain Weekly KO/KR/Closed Won KO list and communicate to VP along with the Weekly ReportPrepare presentation material for Monthly Management Meeting (MMM) and Leadership Meeting (LT)Coordinate, collect and distribute where appropriate EPPs, MBOs, Sales Incentive Plans for the entire MEAR Team.Team SPINs: Communicate to the team the relevant process and forms. Collect the SPINs on a regular basis (Monthly), check that the necessary supporting documents are included. Arrange Review Call with Finance and VP. Maintain a list with all submitted SPINs and their status.Work his counterparts for other regions, share information, liaise with different departments as requiredSF.COM: Team LeadBe the sf.com Team Lead for MEAR: Train new employees (create training material), Reset Passwords, Create Accounts, Answer in How-to-Questions, help in the implementation of new processes, communicate changes and developments.Check on a weekly basis the “Closed Won KOs” and make sure that the Weekly Report is consistent with SF.COM numbersKPI & MTV Wins Monthly Report: Remind the team on deadline to update their data, ensure all won KOs and MTVs are included and correctly displayed in the reportTop 500 KDMs: Check completeness score, coordinate additions/removals (get necessary approvals and inform SS&O to proceed with changes)L&C University:Explain how it works, the types of trainings tracked, how they are entered into the system and by whom.E-Learning: Make sure that every year the e-Learning Curriculum is formed and communicate it to the Team. Inform the team on their achieved scores (work with PM)Inform the Team about the annual Training hours required.Internal / External Trainings: Organize internal / external trainings. Co-ordinate with HR and Trainer. Insert the training in the system.Marketing Support:Internal & External Meetings (Team or Customer): Arrange internal meetings. After the event finishes, provide full updated Actual Attendees list.Big EU & Global events: CES, MWC, Directions, EEE, Pebble Beach,: Provide invitees list  (usually through dedicated sf.com Campaign). In certain events (like EEE) send by email and post the Invitations. Collect confirmations and inform the team to follow-up with their customers. Work with the Team to create “Customer Meetings” schedule. Arrange the customer meetings. Provide for every customer attending the necessary Write-Ups (Pre-Event Brief, CRI, KDM)Internal Newsletter: Collect, consolidate and provide to CM on a quarterly basis Team News that can be included in the Internal Newsletter (incl. Events)External Newsletter: Co-ordinate through a sf.com Campaign the selection of customers to receive the External Newsletter.
